Exhibitor Guidelines

Laramie County Library System (LCLS) is committed to presenting exhibits from a variety of viewpoints as opportunities for individual exploration and community connection. To support its mission and strategic goals of promoting art, culture, and access to information, LCLS offers exhibit space to individuals and organizations. Space is offered as available, with preference given to exhibits of a general nature which are timely and appeal to community interests and concerns. LCLS has the sole discretion regarding selection and timeline of exhibits in library spaces.

Individuals or organizations interested in exhibiting artwork or informational displays at the library should review the LCLS Exhibits Policy and the following guidelines prior to submitting a proposal.

Exhibitor Responsibilities

  • Providing accurate information about the exhibit to LCLS Events & Exhibitions Manager, including:
    • A description of the exhibit
    • Artist or exhibitor bio
    • A complete list of items to be displayed and their value
    • Information for exhibit labels
  • Ensuring all artwork or materials are ready for hanging or other display
  • Installing exhibit with respect to library property, library employees, and patrons under the direction of the LCLS Events & Exhibitions Manager
  • Signing an agreement releasing the library from any claims of liability arising from exhibiting artwork or other materials in library spaces

Promotion of Exhibits

LCLS may choose to promote exhibits through press releases, library newsletters, the library website, and online event calendars. Items on exhibit may be photographed and reproduced for promotion of the exhibit. In most cases, LCLS will design, create, and place all signage and labels for exhibits in library spaces. Exhibit signs and labels created by exhibitors must be approved for display by the Events & Exhibitions Manager. The exhibitor may promote the exhibit through their social media or email lists and should credit LCLS as the exhibit host. LCLS will share promotional materials created by the library with the exhibitor on request.

Fees and Sales

Exhibits at LCLS are free and open to the public. Admission fees and/or requests for donations are not permitted. Artwork may be offered for sale with approval from the LCLS Events & Exhibitions Manager. The library does not facilitate the sale of goods or services associated with exhibits, and sales transactions are not permitted on site. All inquiries about purchasing artwork will be referred to the exhibitor. Artwork sold during the exhibit must be left on display for the duration of the display period. Laramie County Library Foundation requests but does not require a 10% donation of all sales of artwork on exhibit in library spaces.

Liability and Insurance

LCLS’s acceptance of an item for exhibit does not constitute an endorsement of the content of the item or the views expressed by the creator. The existence of a particular viewpoint in materials on exhibit is an expression of intellectual freedom, not an endorsement of that point of view. The exhibitor is responsible for ensuring the exhibit materials comply with all federal, state, and local laws.

Exhibits will be given reasonable care and protection within the limits of the usual operation of the library. LCLS does not provide security or insurance for exhibits, and assumes no responsibility for theft, loss, damage or destruction of exhibits. It is recommended that exhibitors provide their own insurance for artwork or other materials while on exhibit at the library.

Exhibitors are required to sign an agreement releasing LCLS from any liability for personal injury or damages, destruction, loss, or theft of any item during the display period or during installation or removal of the exhibit.

Proposal Process

LCLS encourages artists, collectors, hobbyist groups, cultural institutions, and community organizations to submit exhibit proposals. To submit a proposal, complete an Exhibit Proposal Form. All proposals will be reviewed and will receive a response within four weeks of submission date.
